Client Services & Administrative Assistant
Part-Time | Tucson, AZ | In-Person
$18–$22/hour | 20 hours/week, weekdays, with some variation for special events
Reports to: Client Experience & Operations Manager
Be one of the people who makes Motus feel like Motus.
There’s a lot that goes into creating a great experience before a member ever starts their workout.
It’s how they’re greeted when they walk through the door. How the phone gets answered. Whether someone remembers their name. Whether a question gets handled instead of forgotten. Whether the facility feels organized and welcoming. At Motus Performance, those things matter.
We’re a small, collaborative team working in a professional, high-end environment, and we’re looking for a Client Services & Administrative Assistant to join us. We’re interested in finding someone who is friendly, dependable, curious, detail-oriented, professional, and willing to learn.
This is a great fit for someone who genuinely enjoys helping people, likes being organized, and takes satisfaction in keeping things running smoothly.
What you’ll do:
You’ll be one of the first people many members, prospects, physical therapy clients, vendors, and visitors interact with at Motus.
Your responsibilities will include:
- Answering phones, greeting visitors, welcoming members, and helping create a professional front-of-house experience.
- Handling walk-in inquiries and phone leads by capturing information, answering basic questions, scheduling next steps, and documenting interactions.
- Supporting scheduling and rescheduling, communicating messages to staff, and making point-of-sale transactions.
- Assisting with new-member setup, files, starter kits, intake forms, waivers, Mindbody updates, and routine account maintenance.
- Supporting renewals, membership suspensions, tracking boards, member records, and routine follow-up.
- Responding to routine client communications.
- Helping keep the front of house ready: supplied, café/bathroom stocked and tidy, and light tidiness in general.
- Supporting marketing and growth activities such as event preparation, simple content capture for posting on social media, referral materials, and campaign administration.
- Cross-training on core processes so the team has strong coverage during busy periods, absences, transitions, and vacations.
Who you’ll work with
You’ll report day-to-day to our Client Experience & Operations Manager.
The two of you will work closely together, with overlapping knowledge of important client and administrative processes. They’ll provide direction and priorities, but we want someone who can learn the systems, take ownership of assigned responsibilities, and increasingly handle routine situations independently.
You’ll also interact regularly with Motus’s owners, coaches, physical therapy professionals, members, prospects, and vendors.
You might be a great fit if…
- You’re naturally friendly and comfortable talking with people.
- You’re organized and notice details.
- You like completing things correctly; not leaving loose ends for someone else.
- You can handle a ringing phone, a member walking in, and a task you were already working on without completely losing your place.
- You’re comfortable learning software, spreadsheets, communication tools, and checklists.
- You’re professional and discreet.
- You’re comfortable helping an interested prospect take the next step even though this isn’t a traditional sales position.
- When a client has a concern, you stay calm, listen, and help. You can handle straightforward issues and recognize when something more sensitive needs to go to the Client Experience & Operations Manager.
- You’re the kind of person who likes being part of a team and helps first rather than waiting to be asked.
What success looks like:
- Members and visitors are greeted warmly and professionally.
- Calls and walk-ins are handled promptly.
- Leads received during coverage are moved forward instead of delayed or handed off unnecessarily.
- Administrative work is accurate, complete, and documented.
- Client-related matters, task, and project handoffs are clear so the accountable lead always knows what happened and what remains open.
- The facility feels calm, organized, welcoming, and cared for.
- And the Client Experience & Operations Manager can count on you to make their job easier, not create another layer of follow-up.
